STUDENT RECORDS (CUSD #187 BPM 7:340)

 

Cahokia Unit School District #187 complies with all federal and state laws and all Illinois Office of Education rules and regulations relating to the Illinois School Student Records Act.

 

The student permanent record consists of basic identifying information, academic transcript, attendance records, health records, and record of release of permanent record information.

 

The student temporary record consists of all information not required to be in the student permanent record, including family background information, test scores, psychological evaluations, teacher anecdotal records, and disciplinary information.

 

Parents/Guardians have the right to:

  • Inspect and copy records.
  • Challenge the contents of records.
  • Grant written consent before records may be released.
  • Copy records proposed to be destroyed.

 

Parents/Guardians of disabled children shall be informed of the potential future usefulness of records of their children. The following information is designated as public information: name, address, grade level, participation in extracurricular activities, and awards and honors received.  Local, state, federal, legal and educational officials have access to student records for educational and administrative purposes without parent/guardian consent.

 

 

CHANGES IN ADDRESSES AND TELEPHONE NUMBERS

 

An emergency phone number is required by the second day of school.  Changes in addresses and telephone numbers must be reported to the school.  This information will assist school personnel in obtaining immediate assistance for the student.

 

Destruction of Records

If you or your student is permanently withdrawing, transferring, or graduating from Cahokia Unit School District 187, please be advised of the District’s policy pertaining to the destruction of the school records. The schedule below complies with the Illinois School Student Records Act, 105 ILCS 10/4(e) and (f), requirements that (1) temporary records be retained for at least five years after a student’s transfer, withdrawal, or graduation, and (2) permanent records be kept for at least 60 years after a student’s transfer, withdrawal, or graduation. The parent(s)/guardian(s), or the student if he or she is at least 18 years of age at the time of the request, may request a copy of a record at any time before the date of destruction listed below.

Class of 2017- Temporary records will be destroyed no earlier than: July 1, 2022

Permanent records will be destroyed no earlier than: 2077

Class of 2018- Temporary records will be destroyed no earlier than: July 1, 2023

Permanent records will be destroyed no earlier than: 2078

Class of 2019- Temporary records will be destroyed no earlier than: July 1, 2024

Permanent records will be destroyed no earlier than: 2079

Class of 2020- Temporary records will be destroyed no earlier than: July 1, 2025

Permanent records will be destroyed no earlier than: 2080

Class of 2021- Temporary records will be destroyed no earlier than: July 1, 2026

Permanent records will be destroyed no earlier than: 2081

Class of 2022- Temporary records will be destroyed no earlier than: July 1, 2027

Permanent records will be destroyed no earlier than: 2082

Class of 2023- Temporary records will be destroyed no earlier than: July 1, 2028

Permanent records will be destroyed no earlier than: 2083

Class of 2024- Temporary records will be destroyed no earlier than: July 1, 2029

Permanent records will be destroyed no earlier than: 2084
